Twin Farms is seeking a warm, polished, and highly organized Spa Receptionist to join our Spa team.
The Spa Receptionist plays an important role in creating the calm, thoughtful, and highly personalized experience our guests expect from Twin Farms. As one of the first points of contact for the spa, this person helps set the tone for each visit, welcoming guests, coordinating treatments, anticipating needs, and supporting the flow of the spa throughout the day.
This role works closely with therapists, spa leadership, Guest Experience, and other departments across the property to ensure every detail feels seamless and intentional.
Responsibilities
- Welcome guests with warmth, discretion, and genuine hospitality.
- Schedule, coordinate, and confirm spa treatments and wellness experiences.
- Maintain an accurate understanding of the daily spa schedule, therapist availability, and guest needs.
- Work closely with therapists and spa leadership to support the smooth flow of appointments throughout the day.
- Respond thoughtfully to guest questions and clearly communicate information about treatments, amenities, and the spa experience.
- Maintain accurate guest profiles, preferences, appointment notes, and other relevant information.
- Anticipate guest needs and communicate special requests, preferences, allergies, or other important details to the appropriate team members.
- Process guest charges and assist with spa retail purchases.
- Maintain the presentation, cleanliness, organization, and readiness of the reception and retail areas.
- Support retail inventory, product organization, and replenishment.
- Assist with opening and closing procedures and other daily spa operational needs.
- Coordinate with Guest Experience and other Twin Farms departments to support seamless guest itineraries and experiences.
- Communicate schedule changes and operational needs clearly and professionally.
- Maintain guest confidentiality and exercise discretion at all times.
- Uphold Twin Farms, Forbes Five-Star, and Relais & Châteaux service standards.
- Support fellow team members and contribute to a calm, welcoming, and collaborative spa environment.
- Previous experience in luxury hospitality, spa reception, reservations, wellness, or guest service preferred.
- Warm, confident, and polished communication skills.
- Exceptional organization and attention to detail.
- Comfortable managing multiple appointments, guest requests, and changing priorities throughout the day.
- Strong computer skills and comfort learning scheduling and property-management systems.
- Professional, discreet, dependable, and calm under pressure.
- Collaborative and willing to help wherever needed to support the guest experience and the spa team.
- Genuine interest in wellness, hospitality, and creating memorable guest experiences.
- Flexible availability, including weekends and holidays.
